1、.As adopted by the General Band MembershipSaturday, January 12, 2008.Distict Band Festival Cameron County High SchoolSelection ProceduresPMEA District 2 - Band Selection Procedures1. The following forms must be completed in their entirety: the Student Contract, Student Medical Form, and Directors Pr

2、eference Sheet. All paperwork must be to the host director, postmarked on or before September 21 of each year. If the 21st of the month falls on a Sunday, a postmark of September 22nd will be accepted. Any school whose director has not submitted their paperwork to the host director prior to the sele

3、ction meeting, which is held on the first Sunday of October, will not be permitted to participate in the festival.2. When completing the Directors Preference List, the director should indicate the order in which he wishes the students to be selected. This should be done keeping in mind the selection

4、 process described below. Being aware that some sections close quickly, directors should list enough names to reach their quota if they have qualified students. Foreign exchange students are part of the schools quota. For each student, list their primary instrument, and then any additional instrumen

5、ts for which you wish that student to be considered. For instruments that have more than one part, list the parts along with that instrument, in the order in which you want the student to be considered , e.g. Cornet 1,2,3; Clarinet 2,3,1, etc. 3. Up-to-date enrollment figures (grades 10, 11, 12) are

6、 to be provided on the Directors Preference Sheet. If they are not, the latest figures available to the selection committee will be used to determine that schools quota. The breakdown is shown below:School Size Number of ParticipantsI. 0-500:3II. 501-1000:4 III. 1001-1500:5 IV. 1501-2000:64. The siz

7、e (158 players) and instrumentation of the band is predetermined. The District 2 Band has the same instrumentation as the Region Band. The only time this is changed is in order to accommodate size problems on the host school stage, to accommodate courtesy appointments as described below, host school

8、 complimentary appointments (quota plus half) or to accommodate special needs to perform a particular piece of music. Returning students who placed in the top half of their instrument at the previous Region BandReturning students who placed in the top half of their instrument at the previous years Region Band will be automatically included on the same instrument

11、 in the current years District 2 Band, as long as they are 1) listed by their director on the Directors Preference Sheet, and 2) listed on the same instrument in the primary instrument column. It is permissible for them to be listed on a different part on that instrument, e.g., a student who played

12、Clarinet 3 and placed in the top half of all clarinets at the previous years Region Band will be an automatic selection for this years District 2 Band on Clarinet 1, 2 or 3, at the directors discretion. These students should be listed first on their schools Directors Preference Sheet and noted as su

13、ch. They will be placed in the Band before the selection process begins. If a returning student placed in the top half of their instrument at the previous years Region Band, and the director wishes them to be selected on a different instrument, they will not be considered automatically on that diffe

14、rent instrument. They must go through the selection process. For the purposes of this determination, each of the various clarinets and saxophones, as well as flute and piccolo are considered to be different instruments. In the event that the number of these returning students who desire to be on the

15、 same instrument part exceeds the number of seats in that instrument part (Flute 1,2; Clarinet 1,2,3; Alto Sax 1,2; Cornet 1,2,3; Trumpet 1,2; Trombone 1,2,3; French Horn I, II, III, IV), the students scores at the previous years Region Band will be the determining factor in deciding on which part t

16、hese students are placed.These returning students will count toward their schools quota. However, the school does not forfeit its place in the selection rotation described below. The next available student on the Directors Preference Sheet will be that schools 1st round choice unless that schools qu

17、ota has been filled by returning Region students as described above.B. Courtesy appointmentsA student who is a child of a PMEA member who is actively employed as a music teacher by a participating school or university may be considered as a “courtesy appointment” to the District 2 Band at the school

18、 directors discretion. If the childs school director wishes to have this student considered as a courtesy appointment, he/she must list the student on the “Courtesy Appointment” space at the bottom of the Directors Preference Sheet. This student will be placed in the Band at the end of the selection

19、 process IN ADDITION to the students who were already selected. They will NOT count toward the school quota, nor will they displace any students already selected to the Band.C. Selection Committee MeetingMaterials needed: 1)Audition results from previous years Region Band festival; 2) list of partic

20、ipating schools; 3) Paperwork from each school, including Student Contracts, Student Medical Forms, and Directors Preference Sheet; 4) a blank District Band Instrumentation Template.1. Sort the Directors Preference Sheets by school size classification:School Size Number of Participants (Quota)I. 0-5

21、003II. 501-10004 III. 1001-15005 IV. 1501-200062. Conduct a random draw of School Sizes in order to determine the order in which the groups will take part in the selection.3. Conduct a random draw of the names of all participating schools in order to determine the order in which schools will take pa

22、rt within their groups. Sort the schools in each group according to the results of the random draw.4. On the District Band Instrumentation Template, insert the names of all students who are automatic selections due to their placement at the previous years Region Band festival, as described in “A” ab

23、ove (see page ?)5. Students will now be selected from the Directors Preference Sheets to fill the instrumentation indicated on the District Band Instrumentation Template. The template includes an extra space in each section for an “alternate”. This person will be called upon to replace any student i

24、n that section who drops out. The alternate will be selected as part of the selection process.The selection process is a round-robin process. Following the order established by the random draws, the first student listed on each Directors Preference Sheet will be added to the District Band Instrument

25、ation Template. Once the assigned number of players has been reached within a section, that section is closed. For example, eight tubas are to be selected. In round one the first eight schools have listed tubas as their first choice. These eight students are placed in the band and the section is clo

26、sed. A ninth school has also listed a tuba player as its first choice. If that student has additional instruments listed, and space is available in one of those sections, then that student will be placed in the next open section. If there are no open sections for that student, then the student will

27、be listed as the alternate for their highest listed choice for which no alternate has yet been selected. Alternates do not count against the schools quota. In the event that all of that students sections are already filled, and alternates have already been assigned to those sections, then that stude

28、nt shall be passed over, and the next student on that schools list will be considered. This process will continue until either a student from that school is selected for that round or that schools student list has been exhausted. Once a school has reached its assigned quota, it is temporarily remove

29、d from the process, which continues without that school. When every school has either received its quota or exhausted its list of students, all schools that still have students listed are returned to the process to fill sections that still need players. From this point on, only the next student on t

30、he Directors Preference Sheet will be considered. If there are no openings for that student, he/she will be crossed off and the next schools Preference Sheet will be considered. In this way schools may receive more members than their quota indicates. The host school is entitled to quota plus one-hal

31、f. These complimentary appointments are in addition to the students already selected, and will not displace another student.6. In the event that the selection process results in a participating school having NO students selected to the Band, the District president and the festival host will select a

32、 student from that schools Directors Preference Sheet. This student will be in addition to those already selected from the other schools, and will not displace another student.7. When the selection process has been completed and the appropriate notifications and invoices sent to the participating sc

33、hools, the following issues should be noted:Registration fees will not be refunded for cancellations which occur within 2 weeks of the festival.Changes or deletions occurring after the selection meeting will be handled in the following way:1. A substitution will be made from the pool of alternates e

34、stablished at the selection meeting;2. A substitution will be made from the host school;3. The position will be left vacant.Band Auditions 1. Purposea. Auditions for all high school festivals serve an important purpose. They provide a platform to evaluate the preparedness of the participating studen

35、ts while rewarding those students who audition well with continued participation in the PMEA festival system.2. Host Responsibilitiesa. Host must confer or submit the list of festival personnel to the District 2 secretary at least two weeks prior to the festival so that the secretary can randomly as

36、sign audition numbers for the students and type all names into the computer for Wednesday night auditions. b. The host will assign audition committees made up of as many PMEA members as the host deems necessary, a holding room monitor and an audition room sergeant-at-arms for each section, attemptin

37、g to avoid assigning directors to a section in which they have students participating. Directors should not audition their own students unless prior permission has been granted by the district president. 3. Auditionsa. All students must audition or they will be sent home at their parents expense. b.

38、 Directors must participate in auditions or their students will be declared ineligible. If the director is unable to attend the auditions, he/she must appoint a PMEA member who is not already participating in the auditions to take his/her place.c. Auditions will be held Wednesday evening of the fest

39、ival or as outlined in the weather contingency plan. d. Directors should request an audition room change at the Wednesday meeting if they have been scheduled in the same room as one of their auditioning students. e. Auditions will be blind. f. No names of students should be available to the judges,

40、nor should directors handle student folders. The sergeant-at-arms will do this. All communications between judges and students will be done through the sergeant-at-arms, who remains in the room. Student names are not to be posted outside the door, they are to be given to the sergeant-at-arms with ra

41、ndom audition numbers assigned. g. Students will use their own folders. Folders are collected before auditions from everyone by the sergeant-at-arms, not the judges. When the students enter for the audition, they will find their own folder then place it on the "used" pile after completing

42、the audition. Folders will be returned after auditions are completed. h. Seating is announced Wednesday evening following auditions whenever possible. 4. Proceduresa. At a time specified by the host, directors will convene for a meeting where audition materials will be distributed. These include 

43、67; Rating sheets § Judge checklist § Judge music folderb. Changes in the individual audition committees should be corrected at this time. c. The district president will preside over this meeting, or in the event of his/her absence, another district officer will fill in. d. The host and/or

44、 committee chairperson will place a chair and stand in each audition area. e. From the music folder prepared by the host, judges will determine what scale is to be played (from 4-sharps to 4-flats for that instrument), selections to be used for audition and the order in which these selections are to

45、 be played, prior to the students entering the room. f. At the assigned audition time, all students in their respective sections report to the audition area. The committees will review the following information with the entire group inside the room: the assigned audition passages, including beginnin

46、g, ending and midpoints; the order of the selections; and the assigned scale. For transposing instruments, the committee must make clear EXACTLY which scale on the page the students are to play, differentiating between that instruments scales and concert scales. Students should be allowed to mark th

47、eir own music. The assigned audition selections can also be written on the blackboard in the room if available. g. Students will place their audition number on their half sheets when they are given their number by the holding room monitor. The holding room monitor should double check these numbers w

48、hen the half sheets are collected. The sergeant-at-arms will have a list that shows the audition number and name of each student. Judges will not see this list. h. The sergeant-at-arms will only identify the students by their audition numbers. If an audition number (student) is absent, the sergeant-at-arms should inform the judges that a number (student) should be left blank on their score sheets. i. All music will be collected by the sergeant-at-arms before auditions begin. j. Upon entering the audition room, students should find and use their own music. All communications are to be th
